Job Description

JOB SUMMARY:

• To assist Supply Chain Manager (SCM) to look after complete supply chain cycle for PPS(Gh) Ltd

REPORTING:

• To Supply Chain Manager

KEY OBJECTIVES

• Assist SCM in ensuring that PPS(Gh) Ltd always has current robust policies and procedures in place for supply chain and are being adhered to.
• Ensure that procurement is done according to the agreed policies and procedures and best practices.
• Ensure that the inventory is managed in a way that serves the timely needs of our customers and reduces overstocking.

PRINCIPAL RESPONSIBILITIES

• Identify vendors, including verifying credibility, and build relationships with them for the company
• Understand the current mining and industrial material suppliers including market trends.
• Conducting periodical supplier evaluations.
• To initiate, coordinate and facilitate RFQ/Tendering process in accordance with company policies.
• Compile quotations received for any major purchase and prepare a summary sheet for evaluation by the manager in charge.
• Negotiating with suppliers for optimum rates to procure quality materials - keep updated about current market rates for materials and services.
• To prepare purchase orders and follow up with vendors for quick and apt delivery of materials.
• To make entries of purchases made by all the departments.
• Ensure adequate inventory are carried in the warehouse for smooth operations (prompt delivery to customers), while avoiding overstocking.
• To check the bills received from suppliers are having all required supporting documents such as LPO, GRN etc.
• Process timely payment for all the suppliers as per agreed terms.
• Reconcile supplier statements from time to time and resolve disputes.
• To maintain an efficient filing system.
• Prioritize tasks and establish schedules to maintain balanced workload among Supply Chain department employees.
• Supervise and evaluate performance of subordinates in the department.
• Develop a supplier base for various items customers request and effective performance management of key suppliers
• Select vendors, local and international, in line with Organization procedures to achieve value for money
• Ensures inventory accuracy through improved stock management systems to avoid stock outs.
• Create item specific forecasts over a rolling time horizon to be used for ordering and inventory management purposes.
• Ensuring shipments, imports and exports, comply with Customs regulation in Ghana to avoid storage and demurrage charges.
• Work closely with Shipping /Freight Forwarding agents ensuring efficiency of operations in Logistics function.
• Perform and carry out other duties as instructed by SCM.

Required Skills or Experience

Essential

• Bachelors Degree/Diploma in Engineering (preferably Mechanical) with minimum 3 years experience in a similar position, preferably with an organization in the mining or manufacturing industry
• Extensive knowledge of mining/manufacturing industry and material suppliers
• Knowledge of any supply chain management system (Tally Solutions) especially will be advantageous.
• Valid Driving License.
